Changes coming to Workforce timekeeping

Changes coming to Workforce timekeeping
We're changing the mechanism you use to record your work hours on your time sheet

Beginning tomorrow, Wednesday, June 26, you will begin to see changes in the Workforce timekeeping system. As a result of our transition to the new Oracle system, we are launching an updated Workforce that integrates with Oracle and our new chart of accounts.

What are the key dates for implementation of the new Workforce timekeeping system?

June 8 – June 21: Last pay period in the current Workforce system
June 22 – June 25: Current Workforce available to review history, time-off requests, and bank balances, but will be unavailable for time entry.
June 26: New Workforce will be available to enter employee time retroactively back to June 22, 2019.
July 12: First paycheck (for pay period 6/22 – 7/5) processed in Oracle

Will Workforce look different? How will I navigate the differences? For guidance in navigating the updates in Workforce, please reference the job aid posted to the ERP Training web page and the Workforce Time sheet Job Aid for Employees.

How will I access the new link to Workforce on June 26?

Please note that if you have a saved shortcut or link to the current Workforce link, it will not work beginning June 26. Make sure you update your link using one of the below options:
1. Access the new link via the Timekeeping button on the "Frequently Visited" section at the bottom of the of the HUB homepage.

2. Type the word “payroll” into your browser. If it doesn’t open right away, look for a yellow pop-up at the bottom of your web page.

Do I need to take action prior to the Workforce transition on June 26? On or before June 25th, employees and supervisors are strongly encouraged to take print screens or document time-off requests that have been approved, unapproved, or denied on or before June 25, 2019.

What do I need to do after the Workforce transition on June 26 for my pay period 6/22–7/5?
• Reference the time sheet job aids (links provided above) for guidance in navigating the updated Workforce and entering new codes based on the new chart of accounts.
• Verify that your schedule is reflected accurately.
• Verify time-off requests OR resubmit time-off requests as needed.
• Time-off requests will now prompt non-management employees to enter start and end times instead of the total number of hours.
• Submit your time sheet in the updated Workforce on Tuesday, July 2. Supervisors will need to approve time sheets on Wednesday, July 3.
